HOW IT WORKS
A Simple, Secure, and Streamlined Process
STEP 1:
ARE WE A GOOD FIT?
Please take the time to read through the client expectations and details regarding our office operations.
STEP 2:
REQUEST A SECURE PORTAL ACCOUNT WITH US
Please contact our office for instructions.
STEP 3:
SUBMIT YOUR DOCS
Upload ALL necessary tax docs to your secure portal account. We are not be able to begin work until complete information is submitted.
STEP 4:
THE PREP PROCESS
We operate on a first-in, first-out system. Once your completed doc file is in the queue, we will begin the data entry process and communicate with you regarding questions. During busy season, we can run up to 5 - 10 days out.
STEP 5:
REVIEW
After thorough review and communication with you (in order to optimize for your benefit), a full draft copy of the tax return is uploaded to your portal account for your review.
STEP 6:
SIGNATURE AND INVOICE
After the final review, when the client is satisfied that the tax return reflects complete and accurate information, our office will generate an invoice, as well as E-signature docs.
STEP 7:
E-FILING
After our office receives full payment for the tax prep, as well as all required signatures, your tax return should be E-filed by the close of the business day. IRS and state acceptance is normally confirmed within 24 hours.

WHAT TO EXPECT
Client Expectations
Our standard tax prep fee includes a reasonable amount of time for upfront meetings or discussions, answering your questions, and time to go over concerns, or explain questions about your return. It also covers normal communication during the preparation process.
If additional time is needed beyond this—for tasks such as resolving extensive questions or handling special circumstances—billing will be charged at $225 per hour. If any issue arises due to an error or omission on our part, the resolution will be covered under your original tax prep fee.
To ensure a smooth process, you are responsible for gathering and summarizing your tax documents before we begin. While we’re happy to assist with tax preparation, we cannot take on tasks like calling your investment advisor/broker or tracking down property tax receipts.
Additionally, during busy season, an extra charge of $100 (minimum 30 minutes) will apply for each “piecemeal” submission if you send forms after your file is already in progress.
TRANSPARENT PRICING
Understanding Your Tax Prep Costs
Hedrick Tax Prep offers excellent value with "middle of the road" pricing - less than the big box firms and slightly more than bare bones, non-credentialed preparers - but with the benefit of dedicated, timely, and personalized service.
If you’ve used a professional preparer (CPA or Enrolled Agent) in the past, we are happy to match their prior-year fee for a comparable return.
BASIC INDIVIDUAL RETURNS:
Our minimum fee for a new client filing a federal and one state return is $350–$400. This typically covers:
Single filers with one W-2
Married Filing Jointly or Head of Household, with itemized deductions or a comparison to the standard deduction
Common elements like healthcare reconciliation, interest/dividends, and other standard items
Additional Charges May Apply For:
Investments, 1099-B forms, stock sales, dividend complexities, or K-1s
Dependents ($10–$25 each for Child Tax Credit and due diligence requirements)
Schedule C (small business income) or Schedule E (rental properties/K-1s), starting at $50 per business or rental
ACA/Marketplace reconciliation (1095-A), $25–$100 depending on complexity
Ministry/clergy adjustments, including housing allowances and clergy self-employment tax calculations, $25–$50
CONSULTATION AND SPECIAL SERVICES:
A reasonable amount of consultation time is built into your fee, with a free 20-minute consultation for prospective clients outside of the busy season.
Additional consultation or problem-solving beyond the standard time is billed at $225/hour.
EXISTING CLIENTS:
Your fee will generally be consistent with last year’s, assuming no major changes. Discounts for organization, seniors, and ministry/clergy returns will continue to apply.
OTHER RETURNS:
Business returns (Scorp, Partnerships, Estates, Gift Taxes, and Non-Profits) start at $450.
Amended returns: $350+ for 2019 and newer (e-filed returns), $400+ for 2018 or earlier.
THE DO’S AND DON’TS
Submitting Your Documents
DON’T
Duplicate information on tax documents: No need to send a summary duplicating the information on your submitted tax forms. Please don't do it. This results in extra prep time and causes confusion in requiring cross-referencing
Send a flash drive
Send a link to a Google Docs folder
Send a text - no exceptions
Upload photos of documents
Upload zip files
Expect to have a an In-Office meeting
Expect us to mail/file a paper tax return: We are set up to E-file exclusively, and will only generate paper copies of returns if absolutely necessary.
DO
Summarize all information - don’t hand us a bag of receipts
Submit totals instead of individual receipts (i.e. submit a total “office supplies” figure instead of 48 Walmart receipts)
Upload everything to the portal
Save all documents as PDFs or Word files (including spreadsheets)
Respond to emails in a timely manner
Google your question before asking us (include “IRS” in your search)

How To Get An Account

I need all official tax documents, including W-2s, 1099s, 1098s, and 1095s. If you had health insurance through the government marketplace (Obamacare), it is critical to provide the 1095-A form. For items like business expenses or donations, it’s much better to provide a summarized and organized list rather than a collection of loose receipts.
While backup documentation is required for every figure on your return in case of an audit (which are happening), I don’t necessarily need to handle every receipt. However, if you prefer, I can assist with that at the current rate of $225 per hour, which would likely be a summer project.

If you're unable to scan and upload PDF’s, you can drop off or mail all your tax documents to our home office in Marietta. Please bring copies only of your documents. You can drop them off anytime—whether it's early in the morning or late at night, just please avoid ringing the doorbell at odd hours.
For convenience, there's a secure, locked mailbox on the street where you can drop off your packet. The locked mailbox compartment is not accessible to the mailman (he can only drop mail in), and the opening is large enough for a 10 x 13 x 3 - so plenty big, and safe as well.
If you prefer, we’ve also installed a secure drop pocket outside the front door. The front door is covered with a portico – so offers some protection from the weather. I will be using this to leave any "pick-up" packets - or it can be used for drop-offs for anyone.
If you'd like to speak with me, we can have a brief conversation at the door as long as I know you’re coming. The home office address is: 1438 Old Virginia Court, Marietta, GA 30067 (Right off Terrill Mill, near Powers Ferry). After turning onto Old Virginia Ct, pull up and around the first tree island, then back down to us. We are the GOLD stucco townhouse. -

It is extremely important that your expenses are summarized instead of a list of receipts. Bringing a shoebox of receipts or a “grocery bag” full of documents makes it challenging to sort through and identify what’s relevant. Similarly, if you use handwritten notes, please summarize them clearly and legibly.
Additionally, avoid duplicating information already included on official tax documents, such as Form 1098 for mortgage interest. Providing this data again in a personal spreadsheet or Word document creates unnecessary duplication and requires time-consuming cross-referencing which can result in a fee of $225/hr to untangle everything.
-
Please save your files as a PDF to upload them to the portal. Spreadsheets should be saved as a PDF also, since formulas tend to break across different devices/platforms.
Do not upload a photo of your document - either scan/email, print to pdf, or mail/bring a clear copy of the document to us.
-
Start with a quick Google search that includes the word "IRS". This will often provide reliable answers. If you still need assistance, please email or call the office. Absolutely no texting, please.
-
While I’m happy to support your decision to use TurboTax, I cannot walk you through the process, answer questions, or help troubleshoot technical issues. TurboTax Basic Edition works for simple returns (Form 1040, W-2 income, limited interest/dividends, and claiming the standard deduction).
It’s not suited for more complex situations, such as itemized deductions (which is good especially if you live in Georgia), business income, stock sales, rental property income, or various tax credits.
-
If you need a copy of a 2022 or 2023 tax return, check your portal account if you’ve activated it. For prior years, look for the email with the return attached from MelHedrickTaxPrep@gmail.com.

For assistance in filling out withholding forms like the W-4 or G-4, I recommend just reading through the directions or using the IRS website to guide you through the process.
I typically recommend claiming zero dependents and deductions to ensure sufficient withholding. After receiving your first pay stub, be sure to double-check the withholding amounts. For federal taxes, the withholding should be at least 10-15%, and for state taxes, at least 5%, in addition to the regular FICA rate of 7.065%. If the amounts are lower than this, go back to HR and make the necessary adjustments.

Ministry and Clergy
Ministers and clergy have unique tax considerations, including dual tax status, self-employment taxes, housing allowances, and the option to exempt out of Social Security. These resources provide a detailed overview to help navigate these complexities.
